The role will be to provide support primarily to a senior executive as well as other managers in one of Imperial’s major business units. The role may also act as a lead assistant to other administrators within the department.
The role will include a wide variety of administrative and clerical duties necessary to run the organization efficiently including; calendar management, travel & expense statement organization, training & recruiting organizational support, assistance with payroll and absence reporting. You will communicate and coordinate department activities, plan and schedule meetings and appointments; organize and maintain paper and electronic files; have effective computer skill knowledge, manage small projects and disseminate information by using the telephone, mail services, web sites, and e-mail. Common functions/tasks that you will be required to perform include but are not limited to the following:
Communicate effectively using both written and verbal communication mediums
Coordinate department activities and practices in a timely manner
Manage and organize department file systems
Demonstrate an ability to exercise good judgment in decision making
Proactively identify opportunities to contribute to workgroup results while building collaborative relationships
Administer and maintain confidential and specialized information and gain an in-depth understanding of organizational policies, procedures, and operations

Preferably 10 years related experience in a high paced office setting where a high degree of multi tasking is required, with at least 5 years experience at executive level
Commitment to internal business controls, safety and effective service delivery
Possess effective and current computer skills, including competency with MS Office Suite, including SharePoint and LiveMeeting, and intranet/internet navigation
Possess analytical and problem solving skills and ability to exercise good judgment in decision-making
High School Diploma or equivalent is a minimum requirement. A post-secondary education in Office Administration or a related field is an asset.
